PARTY NIGHTS CHRISTMAS TERMS & CONDITIONS 2009

Making your party night booking
Please send a £10.00 deposit for each guest within 10 days of making your party night reservation to guarantee your booking. Your deposit cannot be transferred to cover drinks or accommodation. You should settle the final balance four weeks before your event. If you make a booking within four weeks of arrival you will need to pay the full balance straight away. All accommodation must be fully prepaid at the time of booking. All payments are non-refundable, please ensure everyone in your party knows this.

20% Early Bird Discount Offer
Offer valid for new bookings only, does not apply to residential bookings. 20% off the price of the Christmas party meal when deposit is received prior to 30th September 2009. Offer not valid at Barceló Blackpool Imperial Hotel or Barceló Buxton Palace Hotel. Discount excludes wine and accommodation costs; preferential room rates are available, please enquire at the time of booking. Subject to availability at participating hotels.

Changes to your booking
You can add to your booking at any time (subject to availability), but if you need to reduce numbers, you won’t receive a refund. If we have to cancel a party or change the entertainment, you’ll be informed and may be offered an alternative event or a refund. You’ll be given a separate contract for bookings of over 10 guests.

Food & beverage
If a specific pre-ordered wine is unavailable, you’ll get one equally as good or better. If you have any special dietary needs, we’ll put together a suitable menu for you. Dinner service will begin promptly so please arrive in good time so as not to inconvenience other guests.

Check In
Bedrooms should be available from 2.00pm on the day of arrival.

Prices
All prices include VAT at the current rate.

Making your bedroom booking
You can make your booking through the three following ways:

2. Book online
3. Call your nominated hotel directly and make them booking with them

Prices
Every Christmas and New Year inclusive package is subject to availability and includes VAT. The prices in each brochure are per guest and based on two adults sharing a standard bedroom, otherwise a sole occupancy supplement may apply.

Pantomime tickets are not included in the package price unless otherwise stated.  You need to pre-book tickets and arrange your own transport to events taking place outside the hotel, e.g. Midnight Mass.  Firework display, where applicable, are subject to weather conditions.

Visiting family and friends and extra night rates are also per guest and based on two guests sharing a standard bedroom.  A supplement will apply for sole occupancy of a double or twin bedroom and for any upgrades to Premium, Deluxe, Superior Deluxe bedroom and Suites.  These prices are “from” prices and once the allocation of rooms on the lowest rate have gone, you will be offered the next best available price. 

Guarantee your booking
To guarantee your booking, you’ll need to pay a 50% deposit.  You can pay by Access/MasterCard, Visa, American Express, Switch or cheque (made payable to Barceló General Partners Ltd).  The balance should be paid by 30 November 2009.  Bookings made after this date require full prepayment.

A provisional reservation will be held for you for two weeks from the time of booking.  If no deposit is received within that time, we’ll call you to see if we can help some more.

Children
Children are welcome at all hotels at Christmas and New Year.  Where restrictions are in place, see the individual hotel brochures. Children aged five and under will stay and eat for free on all packages, extra nights and visiting family and friends.

Children aged 6 – 15 sharing and staying on a package break will be charged 25% of the adult price to cover meals.  One adult sharing with a child will not be charged a single supplement but may be charged for a family bedroom.

Up to two children aged 6 – 15 staying on extra nights or visiting family and friends will stay in your standard bedroom for free, where a suitable sized room is available.  You will pay for meals as taken.  A supplement may be charged for a designated family bedroom.

Up to two children aged 6 – 15 staying on a package break and in their own bedroom will pay the full adult price, the single supplement also applies.  Each child thereafter is charged 50% of the full adult rate. 

Two children aged 6 -15 staying on extra nights or visiting family and friends in their own bedroom will be charged at 50% of the full adult price and you won’t pay for extra for their meals.

A family bedroom may include a foldaway bed and not all hotels have cots available, so please check on booking if you need on. 

Special requests
Your room will be available from 2pm on the day you arrive.  Please check-out by 11am on the day of departure so that we can get the room ready for the next guest.  Late check-out is available at a small additional charge.

Many Barceló Hotels offer bedrooms for wheelchair users; please call the hotel of your choice directly to ask for more details.  We will try our very best to accommodate special requests and if we are unable to help, we do apologise.

Cancellations
If an unexpected event causes you to cancel your Christmas or New Year package, you’ll get a full refund provided we receive your cancellation in writing before 31 August 2009.  If you cancel in writing between 31 August and 30 November 2009, no refunds will be given but you can transfer your booking to a friend. Cancellations after 30 November 2009 are non-refundable and non-transferrable.

Any extras?
When you arrive at the hotel you’ll be asked to provide a credit card to guarantee payment of any extras you have during your stay – such as beauty treatments or drinks. Most hotels have Health & Leisure Clubs that are free to use in the package price.  Beauty treatments, sunbed and golf can be pre-booked at an additional cost.  Some beauty salons may have limited opening times over Christmas and New Year, please check directly with the hotel.  Car parking is available at most hotels, subject to availability. Charges may also apply.

Any feedback?
We will make every effort to ensure that we meet your expectations and that your break goes exactly to plan.  If you have any problems during your stay, please tell the hotel management of the details as soon as you can and we’ll try to correct the problem there and then.  If you’re still not satisfied, please send a letter, detailing all the relevant information and your booking reference to:

Brochure accuracy
We’ve tried our best to make sure everything within the Christmas and New Year packages are a true and fair reflection of our hotel and the service Barceló offers.  All the prices and details are correct at the time of going to press, but if we’ve made a mistake, please forgive us; we will tell you of any changes when you enquire or book.
